Choosing the Right Invoice Template

The difference between a freelancer invoice and a contractor invoice is not just the label at the top. Each template is pre-configured with the line items, payment terms, and tax settings that match that type of work. Using the right starting point saves five minutes of setup on every invoice you create.

Here is when to use each one:

Freelancer Invoice Template

Use this if you are a self-employed individual billing for services by the hour or by project. The template comes pre-loaded with SGD currency, 14-day payment terms, and a PayNow field in the bank details section. It is the right choice for designers, writers, developers, consultants, and other service freelancers invoicing individual clients or small businesses in Singapore.

The 14-day term is intentional. Net 30 may be standard practice in larger companies, but most Singapore freelancers find that Net 14 is accepted without complaint and results in faster average payment. You can change the term on any individual invoice.

Service Invoice Template

Use this if you run a registered service business in Singapore. The template includes a UEN field (your ACRA registration number), SGD currency, Net 30 payment terms, and Singapore GST (9%) pre-enabled in the tax settings. It assumes you are GST-registered; if you are not, simply switch the tax setting to "No Tax" before downloading.

This template suits agencies, IT firms, marketing companies, cleaning businesses, logistics services, and other SMEs that issue regular invoices to business clients. The GST line is formatted to meet IRAS requirements for a valid tax invoice, with the GST amount shown separately below the subtotal.

Contractor Invoice Template

Use this if you work in construction, renovation, or any trade that bills by progress claim. The template has separate line items for labour, materials, equipment hire, and markup, plus a retention row calculated at 5% of the claim value. Retention is common in Singapore construction contracts: the main contractor or client holds back a percentage (typically 5%) until the defects liability period ends.

If you work under SOPA (Building and Construction Industry Security of Payment Act), this template gives you a clean starting point for each progress claim. SOPA payment claims require a clear description of the work done, the value of work to date, and the amount claimed for the current period. The itemised rows make it straightforward to show each component separately.

Net 14 terms are pre-set because SOPA's payment response window is 14 days from the date of the claim. Matching your invoice terms to the statutory timeline reduces ambiguity.
